Glasgow office / office admin
(Assistant) Contracts Manager Project Manager Job.
"Assistant Contracts Manager / Project Manager" ...
Although the position is described as "Assistant", we would aim to train the successful candidate in as short a time as possible to take on their own responsibilities and workload and make their mark in a small but dynamic team.
The only limit to how well you do and what duties you undertake is yourself.
*Company Description *
-------------------------------------
We are a flooring company based in Glasgow and carry out surveys, pre-start meetings, and installations for one of the largest flooring manufacturers in the world. We operate a small office but have a significant portfolio of impressive end users. We are looking positively to the future as we are awarded some exciting contracts.
*The Position*
-----------------------
The role is a mixed bag, a very mixed bag. This is something which cannot be stressed enough. Like any job, there are high end duties and low end duties.
The high end duties would, after appropriate training, include:
- attending site to intially measure flooring - as per the clients instructions. This will require a level of training to provide an expert knowledge of different flooring types, solutions, and installation methods.
- dealing with suppliers and representatives from flooring manufacturers.
- preparing tenders and submitting costs for approval.
- attending pre start meetings to co-ordinate jobs with the client and other trades
- monitoring ongoing jobs and dealing with any issues on site (which can result in evening/weekend phone calls from fitters). Obviously we take steps to keep these to a minimum and good planning helps to reduce (if not eliminate) this.
- justifying costs to senior surveyors, architects, and project coordinators who act on behalf of the client.
- dealing with the tradesmen who operate for us. Man-management is a significant part of this role. This is a very challenging aspect of the job but also very satisfying when various team members contribute to the completion of a job.
There are the more mundane tasks and responsibilites to consider as well. To neglect these would be unfair as they form a vital part of the operation. One day you may find yourself included in debates with architects and surveyors relating to the flooring element of a multi-thousand pound project. Another day you may be in the office answering the phones, awaiting delivery of materials, and loading the delivery onto a van for that evenings work. Again, the position is extremely varied!
Other duties may include:
- Operating the phones and email in the office.
- Ensuring the correct materials are assigned to a job. This not only involves ordering the materials but often loading them onto a vehicle to ensure the fitters have everything they require to carry out a job given to them. This may also include physically loading jobs with materials (this allows the site to be viewed at first hand and any queries/issues to be rectified in good time).
- Accepting and verifying deliveries to our stores from various suppliers.
- Some office admin as and when required.
- Cleanliness and store maintenance is also crucial to the smooth operation of the business, and is something each team member is responsible for.
- When the pressure is on and time constriants are tough, all able members are expected to go above and beyond to get the job done. This may involve delivering materials to fitters at any hour and may even involve physically assisting on a job. These occassions are few and far between however - when the need arises, we will do anything to get the job done . . .
Given the above, this is a unique and exciting opportunity. Day to day training will be given, as well as attending recognised courses to experience and gain understanding of manufacturers products and procedures. You will be involved directly with a wide spectrum of contacts - including Surveyors and Project Managers on a daily basis. Company Directors, Sales Representatives, Technical Representatives, and the end user.
You will quickly form an integral and crucial part of a small team who will offer you the support you need to learn new skills and push the organisation forward.
In addition to the above:
Salary - Negotiable, depending on experience
Generous Holiday Entitlement - In line with Construction Industry seasonal holidays
Typical Working Hours - 8:30 - 5pm (however working late and checking jobs at weekends etc. may be a necessary part of the job)
Friendly Working Environment
Petrol Allowance
